POSITION SUMMARY: Performs independent secretarial duties for Behavioral Health Director requiring varied knowledge of office practices and terminology. Should possess excellent organizational, oral, and written communication skills; familiarity with word processing software.


QUALIFICATIONS: Associate Degree in secretarial science or related area or Vocational school certificate and four (4) years secretarial experience (may substitute experience for education). Typing 50 wpm.


SKILL SETS:


PHYSICAL AND ENVIORMENTAL DEMANDS: Visual acuity necessary for preparing and reviewing correspondence and reports. Work is light with walking, standing, and sitting. Frequent bending and stooping to retrieve files and supplies. Hearing and talking necessary to answer phone and talk with employees and other individuals. Manual dexterity is required to perform word processing and other clerical duties.


JOB SPECIFIC FUNCTIONS:

  1. Provides confidential administrative support for regional behavioral health program(s).

  1. Collect documents to include, but not limited to, Professional Development Fund Requests, Expense Reimbursement Requests, travel/mileage requests, external training requests, invoices for ancillary services (interpreters, clinical supervision, etc.), purchase orders, and purchase receipts, review for accuracy, submit to supervisor for signature, and ensure proper disposition upon approval.

  1. Receives, processes, and distributes daily incoming mail.

  1. Assists in scheduling clinic managers/program coordinators' meeting, including scheduling and preparing meeting room, packets, taking minutes, and arranging refreshments.

  1. Participates in designated meetings.

  1. Compiles data and prepares reports.

  1. Tracks and maintains data/information presented in a written or electronic format.

  1. Maintains confidentiality guidelines.

  1. Types a variety of letters, memorandums, reports, and other material in an accurate and efficient fashion.

  1. Reviews correspondence and documents for supervisor's signature.

  1. Drafts replies to correspondence for supervisor's signature.

  1. Greets visitors, receives telephone calls, and arranges for appointments.

  1. Serves as a member of the CQI Subcommittee(s) as needed Will assist in the preparation of survey(s) and tabulating survey responses.

  1. Assists in developing, monitoring and implementing office policy in accordance with Center policy.

  1. Maintains current knowledge of Center policy and procedure.

  1. Assists in preparing and typing state, federal, and other applications for grants.

  1. Substitute for executive secretary in her absence at Board meetings and as directed by the executive director.

  1. Participates in agency continuing quality improvement (CQI) activities.

  1. Performs other duties as assigned.

MANDATORY REQUIREMENTS:

  1. Adheres to Communicare, Inc. policies and procedures.
  2. Attends mandatory in-services and other training/educational programs as required.
